Event conditions of entry
Because of the unique nature of this event, the following conditions of entry will apply. All entrants must sign the entry form and agree to abide by these conditions before an entry will be accepted.
Special Note
Please be sure to attach your runner number to the FRONT of your body - not your back or on a bag. Officials must be able to see it easily and quickly. Please note that you may be stopped and asked to stand to one side while other runners are checked if your number requires extra attention.
General conditions
These general conditions of entry should be read by all entrants. It is advisable to read these before proceeding to the entry and registration area.
- All online entries must be accompanied by an email address and compulsory details as laid out in the entry form.
- The Organising Committee reserves the right to refuse entry to individuals whom they deem to be not capable of safely completing the event.
- As part of our safety requirements, entrants must attend the safety briefing held the evening before the event.
- Any entrant who suffers from a medical condition (allergy etc) that could affect their safety, should consult with their doctor before entering, and provide full details in the Medical Section. (Note: Medical certificate may be required.)
- Competitors must carry sufficient storm gear to cover all possible weather conditions as outlined in the Compulsory Gear list. This gear will be checked by race officials at registration and before race numbers are issued. This gear must be carried or worn by all competitors for the duration of the event. Kepler Challenge competitors will be re-checked at Luxmore Hut. Spot checks of gear will also be made at the finish line. Competitors who do not carry the compulsory gear will be disqualified and withdrawn from the event.
- All entrants must fill in the Profile section on the entry form, with details of their training preparation and previous experience. Inadequate details will delay acceptance of entries.
- Participants who encounter a fellow participant who is injured or in serious difficulty are obliged to provide help and/or support until event officials are notified and suitable assistance is available.
- The Organising Committee reserves the right to withdraw competitors from the event at any time
- Competitors who withdraw themselves from the event may be liable for transport costs to remove them from the track. A helicopter service will be available (weather permitting).
- Kepler Challenge competitors who fail to reach Rainbow Reach Bridge (50km) in 10 hours will be withdrawn from the event at that point by the Organising Committee. Please note we also reserve the right to withdraw runners who fail to reach Motorau Hut in 9 hours (3pm). Note that you should expect to have passed Rocky Point by 1.30pm to avoid withdrawal at Motorau.
- It is the responsibility of each participant to ensure that their number is visible ON THEIR FRONT and recorded at all checkpoints. Failure to do this will lead to exclusion from the results.
- The dropping of litter on the track during the event is prohibited and may lead to disqualification
- Competitors must keep to the marked track at all times and may not cut corners. Failure to comply with this requirement may lead to disqualification.
- An accepted entry is not transferable to any other runner.
- No refunds for withdrawals will be made after 14 days prior to race day. Other conditions apply to earlier withdrawals.
- All runners must check-in by 6.30pm the evening before the race and again the following morning at the start line. The committee reserve the right to give a runner's place to entrants on the waitlist should either of these be missed.
- Neither the organisers, the sponsors, nor any party associated with the event shall have any responsibility for any liability, financial or otherwise, which might arise whether or not by negligence, from any direct or indirect loss, injury or death which might be sustained by any competitor or any other party directly or indirectly associated with that competitor, from their intended or actual participation in the event and its related activities.
- Competitors authorise their name, voice or picture, or any information given on their entry to be used without payment in any broadcast, telecast, advertising, promotion or in any other way relating to this event pursuant to the Privacy Act 1993.
- Competitors agree to abide by the rules of the race, to wear a sponsor's bib throughout the event and to allow the sponsors to use photographs taken during the event to advertise their products or to promote the event, at no cost to the sponsors.
- Where a runner becomes eligible for two prizes, the prize of greater value is awarded.
ASICS Kepler Challenge
In addition to the General Conditions above, the following apply to this event:
- Owing to the environmental and safety considerations, the field is limited to 450 competitors. Although the Organising Committee reserves the right of acceptance, places will be allocated from eligible entries in the order received. If requested on the entry form, unsuccessful entrants will be placed on a waiting list - also in the order received.
- Entries will not be accepted from people under 18 years of age on the day of the event.
- In the event of extreme weather conditions or other factors beyond the control of the Organising Committee, the Organising Committee reserves the right to substitute an alternative run of a similar distance. In this case, entry fees will not be refunded. If the event is cancelled entirely, the Organising Committee will make the maximum refund possible to competitors.
ASICS Luxmore Grunt
In addition to the General Conditions above the following apply to this event:
- Owing to environmental and safety considerations, the field is limited to 200 competitors.
- Although the Organising Committee reserves the right of acceptance, places will be allocated from eligible entries in the order received. If requested on their entry form, unsuccessful entrants will be placed on a waiting list - also in the order received.
- Entries will not be accepted from people under 16 years of age on the day of the event.
- In the event of extreme weather conditions or other factors beyond the control of the Organising Committee, the Organising Committee reserves the right to substitute an alternative run of a similar distance. In this case, entry fees will not be refunded. If the event is cancelled entirely, the Organising Committee will make the maximum refund possible to competitors.
Charity Challenge
For runners wishing to enter via the Charity Challenge, the following shall apply in addition to the above conditions.
- The Charity Challenge places are available to individuals who contact the Committee before the cutoff date as displayed on the website.
- In the event that there are more subscribers than places, entrants are taken on a first-come first-served basis
- The fee for a Charity Challenge place is deemed a donation to the charity as laid out for each year's event. As such it is non-refundable.
- The Committee's decision shall be final.
