Conditions of Entry

It is your responsibility to read and understand all of the entry conditions for the Kepler Challenge and Luxmore Grunt. When you enter the event you will be asked to accept the conditions of entry.

In accepting the entry conditions, you are bound to all matters relating to the event and accept that any decisions the Organising Committee makes will be final.
The Organising Committee reserves the right, at their absolute discretion, to refuse entry to individuals whom they deem to not be capable of safely completing the event.
Although the Organising Committee reserves the right of acceptance, places in both events will be allocated from eligible entries in the order in which they are received on entry day.
Places on the “waitlist” will be filled in the order in which they are received on entry day.
Runners will be invited from this list as space becomes available.
Entries to the Kepler Challenge and Luxmore Grunt are NOT transferable.
Strictly one entry per person, per event.
The competing runner MUST be the person named on the entry and may be asked to provide photo identity.
In accepting the entry conditions, you are authorising your name, voice, photograph, video or any information provided on your entry form to be used, without payment, in any public broadcast, telecast, advertising, promotion, social media setting or in any other way relating to this event.
You agree to abide by the race rules, to wear a sponsor’s bib throughout the event and to allow the sponsors to use photographs and video taken during the event to advertise their products or to promote the event, at no cost to the sponsors.
Under no circumstances will the Organising Committee, its sponsors, or any party associated with the event including their employees or agents, have any responsibility or be liable in contract, tort or otherwise, to compensate any competitor or any other party that is directly or indirectly associated with that competitor, for any loss, (including financial loss), injury, damage or death arising directly or indirectly from: (a) their intended or actual participation in the event and its related activities; (b) any act, omission, error or delay (whether negligent or otherwise) of the Organising Committee, sponsors or any party associated with the event or its employees or agents.
Any complaints regarding the events will be handled by the Trust in accordance with its complaints policy available from trustees@keplerchallenge.org.nz.

Pre-race rules

You are responsible for keeping your personal details held in your Eventplus account up-to-date. On the on-line entry form, you must provide details of previous experience and your training preparation. Inadequate details may delay or invalidate your entry.
You should consult with your doctor about existing medical conditions before entering the event (a medical certificate may be required).
You must notify the Race Secretary, through the medical section on the entry form, of any medical conditions that could affect your safety.
Payment must be made within four business days of your place in the event being confirmed.
No refunds for withdrawals will be made within 14 days of race day. See our withdrawals policy.

You must register and have your compulsory gear checked by 6.00pm the evening before race day
You must attend the race safety briefing held the evening before the event.
On race day you must check in ahead of your event start time with your race number and transponder.
You must carry the compulsory gear with you at all times during the event. Your gear will be checked by race officials at registration before your race number is issued. Kepler Challenge competitors will have their gear re-checked at Luxmore Hut and spot checks will be made at the finish line.
You must wear the transponder provided to you at registration at all times during the event.
Competitors not carrying the compulsory gear and transponder may be disqualified and withdrawn from the event.
Your race number must be attached to the front of your body. Your number and the sponsor’s logo must be clearly visible at all times so that it can be recorded at all checkpoints. Failure to do this may lead to exclusion from the results.
You must keep to the marked track at all times and you must not cut corners – failure to comply with this requirement may result in disqualification.
If you encounter a fellow participant who is injured or in serious difficulty, it is your obligation to provide assistance and/or support until race officials can be notified and suitable assistance is available.
The use of pacers is not permitted.
You must follow the instructions of the race officials at all times.
The Organising Committee reserves the right to withdraw competitors from the event at any time for their own safety.
If you withdraw yourself from the event whilst on the course you may be liable for transport costs.
If you are unable to finish the event, you must inform the nearest checkpoint of your decision to withdraw.
Bring out all your rubbish with you.

Rules specific to the Kepler Challenge

Owing to environmental and safety considerations, the field is limited to 450 competitors.
Entries will not be accepted from people under 18 years of age on the day of the event.
In the event of extreme weather conditions, or other factors beyond our control, the Organising Committee reserves the right to substitute an alternative run of a similar distance. In this case, entry fees will not be refunded. If the event is cancelled entirely, the Organising Committee will make the maximum refund possible to competitors.
Cut off times have been put in place to ensure your safety. Competitors who fail to reach Rocky Point (36.6km) in 8 hours, Moturau Hut (44.6km) in 9 and a quarter hours, or Rainbow Reach Bridge (50km) in 10 hours, will be withdrawn from the event at these points by the Organising Committee.
Competitors who do not complete the course within 12 hours will be deemed not to have finished the event.

Rules specific to the Luxmore Grunt

Owing to environmental and safety considerations, the field is limited to 200 competitors.
Entries will not be accepted from people under 16 years of age on the day of the event.
In the event of extreme weather conditions, or other factors beyond our control, the Organising Committee reserves the right to substitute an alternative run of a similar distance. In this case, entry fees will not be refunded. If the event is cancelled entirely, the Organising Committee will make the maximum refund possible to competitors.

Privacy Statement

We collect personal information from you, including your:

Interactions with us
Billing or purchase information
Medical information

We collect your personal information in order to:

provide appropriate communications with individuals that are interested in the Kepler Challenge event
provide appropriate medical assistance to event participants.

Besides our Trustees and Organising Committee, we share this information with:

St John paramedics in order to provide assistance to event participants
team leaders at checkpoints for use in the event of an emergency.

Providing some information is optional. If you choose not to enter medical/health information, we may not be able to provide an appropriate medical response in some emergencies.

We keep your information safe by storing it on a secure server and by restricting access to the Race Secretary and those mentioned above.

Governing Law

The provision of goods and service by the Kepler Challenge are governed by and to be interpreted in accordance with the laws in force in New Zealand.
